Terms & Conditions

Please read before booking. By completing a booking you agree to these terms.

1. Booking and payment

All bookings require full payment at the time of booking to confirm your reservation. Payment is processed securely via Stripe in Canadian dollars (CAD).

All prices are in Canadian dollars (CAD) and are subject to HST (13%) as required by Ontario law. HST is added at checkout and is not included in the advertised rates.

2. Cancellation and refund policy

Hourly studio bookings are non-refundable. You may modify your booking (change date, time, or studio) at any time before your booking.

Event packages (5-hour and 8-hour) are subject to the following cancellation policy:

  • Cancelled 14 or more days before the event: full refund of all amounts paid.
  • Cancelled 4 to 13 days before the event: 50% refund of the amount paid.
  • Cancelled within 72 hours of the event: no refund.

Refunds are processed to the original payment method within 5–10 business days.

3. Security deposit — events

All event package bookings (5-hour and 8-hour) require a refundable security deposit: $300 for 5-hour events and $400 for 8-hour events. This deposit is held on your card at the time of booking (not charged) and is released within 48 hours after the event, provided no damage to the space or equipment is found. If damage is found, The Canvas reserves the right to capture part or all of the security deposit to cover repair or replacement costs.

4. Studio rules and conduct

  • You are responsible for the conduct of all guests and vendors you bring to The Canvas during your booking.
  • No smoking, vaping, or open flames inside the studio at any time.
  • No alterations to the studio walls, fixtures, or equipment without prior written consent.
  • All equipment and furniture must be returned to its original position at the end of your booking.
  • Noise levels must remain reasonable at all times and must not disturb neighbouring businesses or residents.
  • The Canvas reserves the right to terminate a booking without refund if these rules are violated.

5. In-house vendors

In-house vendors are independent contractors, not employees of The Canvas. The Canvas facilitates the booking but is not responsible for the quality, delivery, or outcome of third-party vendor services. Any disputes regarding vendor services must be resolved directly with the vendor.

6. Outside vendors

"Outside vendors" means any third party you bring to The Canvas who is not part of The Canvas's in-house vendor network — including but not limited to photographers, videographers, caterers, bartenders, florists, decorators, DJs, musicians, planners, hair & makeup artists, and delivery personnel.

The person or entity on the booking is fully responsible for all actions, omissions, and conduct of any outside vendors they invite or permit on the premises. This includes, without limitation:

  • Compliance with all studio rules, building rules, and applicable laws, including noise, fire, and health and safety regulations.
  • Any damage to the facility, equipment, furnishings, or common areas caused by an outside vendor or their staff.
  • Any injury to themselves, to other guests, or to staff caused by an outside vendor.
  • Any loss, theft, or damage to the outside vendor's own property or equipment — The Canvas is not a bailee and assumes no responsibility for vendor equipment left on site.
  • Proof of liability insurance, WSIB coverage, or business licensing for any outside vendor, where legally required.
  • Any disputes, payments, or service-level issues between you and the outside vendor — The Canvas is not a party to that relationship.
  • Setup, teardown, and cleanup by the outside vendor within your booked time; additional time or cleaning fees will be invoiced to you.

You agree to indemnify and hold harmless The Canvas, its owners, operators, employees, and agents from any and all claims, liabilities, damages, fines, or costs (including reasonable legal fees) arising out of the acts or omissions of any outside vendor you bring to the premises. The Canvas reserves the right to refuse entry to, or remove, any outside vendor who fails to comply with studio rules, and to terminate the booking without refund if repeated violations occur.

7. Damage and liability

You are fully responsible for any damage caused to The Canvas's property, equipment, or furnishings by you, your guests, or any in-house or outside vendors you bring during your booking. The Canvas reserves the right to invoice you for repair or replacement costs beyond the security deposit amount.

8. Changes to pricing and availability

The Canvas reserves the right to adjust pricing at any time. Bookings confirmed prior to a price change will be honoured at the original price.

9. Governing law

These terms are governed by the laws of the Province of Ontario and the applicable federal laws of Canada. Any disputes arising from these terms shall be resolved in the courts of Ontario.
